Position Overview

The Division of Developmental Disabilities is seeking to hire an Administrative Assistant I for the Shapiro Center located in Kankakee, Illinois to assists in the monitoring of facility compliance with Policies, Procedures, Directives, Practices and Standards of the Department of Human Services (DHS), Central Management Services (CMS), Public Health and Shapiro Center. Confirms quality care in delivery of services to individuals at Shapiro Center. Acts as Staff Assistant to the Facility Director responsible for follow-up associated with routine and special reports, interfaces with facility administrators and staff on behalf of the Facility Director.

Essential Functions

  • Assists in the monitoring of facility compliance with policies, procedures, directives, practices and standards of the Department of Human Services (DHS), Central Management Services (CMS), Public health and Shapiro Center.
  • Acts as Staff Assistant to Facility Director providing follow-up on routine and special reports, interfaces with facility and Department Administrators on behalf of the Facility Director. 
  • Utilizes reports, audits and data to verify compliance with relevant policies, procedures and standards.
  • Ensures effective and consistent implementation of plans of correction monitoring target dates for compliance to improve the efficiency of facility operations and to preclude repeat deficiencies.
  • Conducts and monitors in-service training for staff to verity services are delivered in a manner consistent with applicable standards and policies.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above. 

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program. 

Preferred Qualifications

  • Two (2) years of professional experience conducting quality assessments verifying compliance with policies, procedures and standards for a public or private organization.
  • Two (2) years of professional experience confirming quality of care in delivery of services for a public or private organization.
  • Two (2) years of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects
  • Two (2) years of professional experience managing projects for a public or private organization.
  • One (1) year of professional experience conducting and monitoring in-service training for staff for a public or private organization. 

Conditions of Employment

  • Requires the ability to utilize office equipment, including personal computers.
  • Requires the ability to work after business hours, weekends and holidays. 
  • Requires the ability to travel in the performance of job duties.
  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
